Role overview

We’re looking for a detail-oriented and proactive Royalties Administrator to join our Finance team at Hachette Australia. This role plays an important part in managing author royalties, advances and sub-rights income, while working closely with publishers, authors, agents and other teams across the business. It’s a varied role suited to someone who enjoys working with numbers and systems, takes pride in accuracy, and is confident managing processes and relationships from start to finish. Administrative experience is essential, with royalties or publishing experience highly regarded.

About

the role

Our Royalty Administrator is responsible for ensuring our Authors are paid accurately and on time. This requires the ability to interpret contracts and correctly record them in our Royalties software in order to calculate earnings. This will suit somebody with high attention to detail, strong organizational skills and an enthusiasm for publishing. Reporting to the Financial Controller, you will:

Responsibilities

  • Maintain the Royalties System database of author & payee details, ensuring email addresses, ABN, tax status and bank account details are included.
  • Enter royalty rules, royalty formulas & sub-right shares in the Royalties System, for all new editions, re-issues, EBooks/audio and second formats referring to the original contract for information and linking rules and statements.
  • Organise all author contract advance payments on signature, delivery and publication ensuring correct authorisation by Publishers and Director.
  • Invoice Foreign Publishers/Agents for Rights Advance and other charges, and follow up overdue balances.
  • Allocate author and Hachette share of Royalty & rights advances paid, enter in the Royalties System under relevant sub-right income, run SR draft for review & prepare requisitions for Director approval.
  • Manage the twice-yearly Royalty Statement Process – from entering intercompany royalties through to payment to our Authors.
  • Manage stakeholder relationships and their queries.
  • Ensure high standard of author care with all timely author payments and accurate statement information.
  • Prepare monthly reporting for the Finance and Publishing teams.

Requirements

  • Good attention to detail, as this is required to correctly identify and interpret terms within Author contracts to ensure they are correctly set up in the Royalties System.
  • Strong organizational skills to manage a high volume of transactions, which include royalties, subsidiary rights and advances.
  • Ability to learn quickly, taking notes to support and reinforce understanding of systems and processes.
  • Can use intuition to problem-solve where there are new challenges.
  • Publishing or Legal related experience is not strictly necessary.
  • Must have full working rights in Australia and be based in Sydney – no visa sponsorship is available.
